White-label reporting for agencies

What a good white-label client report contains, how to choose an agency reporting tool, and how to automate branded PPC reports, pacing and approvals without building dashboards by hand.

The short answer

White-label reporting means sending clients reports under your agency's brand, with no vendor logos, so the work reads as yours. A good client report answers three questions in under a minute: are we on budget, what did the money produce, and what did the agency do about it. Automate the data and the snapshot; keep the commentary and the recommendations human.

What white-label reporting is, and why agencies bother

A white-label report carries your agency's name, colors and footer instead of the reporting vendor's. Clients see one consistent brand across proposals, reports and invoices, and the tooling stays your business.

It also changes the conversation. A vendor-branded dashboard invites “why do we need you if the tool does this?”. A short, branded report with your recommendations reads as the output of your team, which it is.

What clients actually read

Most client reports are too long. Decision-makers read the first screen. Build that screen around three questions:

  1. Are we on budget? Month-to-date spend against the monthly budget, with a projection for month-end. See budget pacing for the formulas.
  2. What did the money produce? Spend, conversions, CPA and ROAS by channel, against the previous period. Separate currencies; never add them together.
  3. What did you do? The changes the agency made this period, in plain language: negatives added, budgets moved, ads launched, problems fixed.

Everything else (keyword tables, device splits, placement reports) belongs in an appendix or a call. If a chart doesn't change a decision, cut it.

Tip. The “what we did” section is the most persuasive part of an agency report and the one most often missing. If your change log lives in an audit trail already, the report can list it automatically.

Choosing an agency reporting tool

Agency reporting tools range from dashboard builders with dozens of connectors to PPC suites with a reporting module. Compare them on:

QuestionWhy it matters
Does the report show your brand only? Some tools white-label the dashboard but leave their name in emails, URLs or PDFs.
Is the report a live dashboard or a snapshot?Live dashboards can change after you've discussed them. Snapshots match what you sent.
Does it include pacing against a client budget? Most tools report spend; fewer compare it with the client's monthly number across platforms.
Can it show the work you did?A list of applied changes is your proof of value.
How is it priced?Per client, per dashboard, per connector or flat. Per-client pricing punishes growth.
Who can see what?Clients should only see their own accounts; team members may be limited to their clients.

How MegaMCP does white-label client reports

MegaMCP's Agency mode groups ad accounts by client and adds a white-label report per client. Here is exactly what it does today:

  • Branded, read-only page. A link you share with the client, with your agency's name, accent color and footer, and no MegaMCP branding anywhere on it.
  • A stored snapshot. Month-to-date pacing against the client's monthly budget, the last 30 days per ad platform (spend, impressions, clicks, conversions, CPA and ROAS), and the work applied for that client. Opening the link never calls an ad platform, so it loads instantly and always matches what you sent.
  • You control the link. Admins publish, refresh or turn it off. MegaMCP stores a hash of the random link token for lookup and an encrypted copy so authorized admins can retrieve the link. You can also email it to the client's report contact.
  • Accounts that couldn't be read are named, not silently dropped, so totals never look complete when they aren't.

For reusable dashboards and structured documents, open Reports & dashboards and start from one of the 14 templates. Its generated PDF uses your workspace or client brand kit and contains a cover, contents, selectable text, vector charts, paginated tables, source receipts and page numbers. An approved saved-report link can download that exact snapshot as PDF; expiry or revocation stops new downloads through the link.

Two related agency features pair well with reports: portfolio pacing ranks every client by how far their month is likely to land from budget, and client approvals let you send a client a secret link to sign off on a specific change before anyone applies it.

Agencies on Crew or Legion can also connect Google through their own registered Google app, so clients authorize the agency's app while MegaMCP handles the approved work.

Automating the monthly report

  1. Group accounts by client.

Put each client's Google Ads, Meta Ads, Microsoft Ads and other accounts under one client so totals and pacing roll up.

  2. Set each client's monthly budget.

Pacing and month-end projections need the target.

  3. Set your brand once.

Agency name, accent color and footer apply to every client report.

  4. Refresh and publish.

Refresh the snapshot on your reporting day, then publish the link or email it.

  5. Add the human layer.

Ask your AI to draft three bullet points of commentary from the numbers and the change log, then edit them in your own voice before you send.

Common white-label reporting mistakes

  • Mixing currencies in one total. Report per currency, or convert with a stated rate.
  • Platform-reported conversions added together. Google and Meta can both claim the same sale. Say so, or use a single source of truth (analytics or CRM) for the headline number.
  • No comparison period. A number without last month or last year beside it is trivia.
  • Vanity metrics on page one. Impressions and clicks matter to you; clients care about leads, sales and cost.
  • Reports nobody can verify. Keep the snapshot and the change log so you can answer “what did this say in March?”

Example prompts

Copy these into Claude, ChatGPT or Cursor with MegaMCP connected. Each lists the tools it typically calls; more are in the prompt library.

  • Reads data

Which clients need attention this month? Rank them by pacing and show pending approvals.

FAQ

What is white-label reporting?

Reports an agency sends to clients under its own brand, with the reporting vendor's name and logo removed, so the work reads as the agency's.

What should a client report include?

Budget pacing against the monthly budget, results by channel against the previous period (spend, conversions, CPA, ROAS), and the changes the agency made. Put detail in an appendix.

Are live dashboards better than report snapshots?

They serve different jobs. Dashboards suit daily monitoring inside the agency; snapshots suit clients, because the numbers don't shift after you've discussed them.

Does MegaMCP's client report show MegaMCP branding?

No. The shared report page shows your agency's name, accent color and footer, and no MegaMCP branding.

Can clients approve changes from a report?

Client approval is a separate secret link per plan. The client approves or rejects the change in plain words; someone at the agency still applies it.
